BOOK TRACK DELIVER - BTD

Book Track Deliver is a simple freight management system developed to offer a small to medium size freight forwarder the ability to fully professionalise their business by providing basic and advanced features which are needed by any freight agent to cater for any size of customers. It is designed to generate money for the business, give customers a good experience using your services and build trust to help retain your customer base and improve communication. It is a hosted solution with a lot of documentation and video training available to help a new user all the way.  Here are the core features explained in details;

• Customers: One of the core features of BTD is the ability to create a new customer account and keep that customer for life on your system, in fact a customer account has to be created and stored before any other activity can be perfomed on that customer.
• Prices: A freight forwader is able to create prices for both air and sea freight for all destinations in the world with multiple international currencies and in some localised currencies available. What prices you put in is what you will see. This is only relevant in the automated courier invoicing system that calculates automatically according to your price input per destination and not the custom invoice, the custom invoice is easier to use and gives you power to make changes on the go. 
• Billing: We know cash flow is at the heartbeat of any business so BTD contains two types of invoices, the courier automated invoice and customisable invoice. While these two may achieve the same outcome but they are totally different in the way they calculate and present invoice. The courier invoice needs data and will feed from the prices inputted for different destinations and services to calculate the total cost of cargo, it calculates the actual weight and volumetric weight of a good on air freight and then let's a forwarder choose which to apply as the cost and also allows discount to be applied.  The generated invoice will give the customer an accurate idea how the bill was calculated, for sea freight it will also calculate the cubic metre CBM per dimensions given.  Air freight is based on weight and sea freight is based on cubic metre calculations. The customised invoice system is also robust and will calculate all data fed into it by the freight agent on the go, discounts can be applied and descriptions are inputted on the go as invoice is created. In some instances, customers prefer to use this system for simple or more complicated billing as they deem fit. All invoices will send both text and email alerts to customers which will also contain links to tracking (with tracking code) and  generated invoice. All generated invoices can be shared instantly by email, whatsapp, mail etc with customer in the case they did not receieve the initial email in their inbox and text message.
• Payment Update: Once a payment has been made, a forwarder can update the system with full payment or part payment and  an alert is sent to the customer automatically. A forwader can also do a bulk update of payments for multiple customers at the same time. A payment reminder can also be sent per invoice or batch of invoices and alert will be sent to the customer. 
• Tracking Update: Tracking is fundamental in freight forwarding and any form of logistics, customers need to know where their goods are at anytime untill it is delivered, BTD will provide customer with a tracking url and code in the email, then once tracking is updated, the customer is also alerted by email and text . Bulk tracking update can be done for multiple customers at the same time and different tracking information as needed can be sent to each individual customer. 
• System Reports: For each billing system be it customisable invoice or courier invoice, the freight forwarder can run all time report on revenue  accounts  and also a daily report on revenue account. (we will add more reports in the next version of MCA)
• Marketing by  Email: An excellent in-built email mass mailing system allows you to send information to all customers at the same time or select individual customers to send email to . This is an efficient way to inform your customers of price discounts, new routes and any other vital information. Attach visual images to your email marketing. 
• Marketing by SMS: Text marketing is very efficient in reaching customers instantly, SMS on BTD and MCA is optional but if needed, SMS credits can be purchased by contacting the customer service or using the buy button on the website . See the SMS prices by country here, individual or bulk text message/marketing can be sent through the BTD and MCA systems. 
• Branding Settings: Book Track Deliver and My Cargo Agent  assumes your brand or company details so you can operate as your brand in the eyes of the customer and not as BTD or MCA and this also includes your email. The account settings will allow you to configure this easily, we highy recommend doing this before using the site fully.

MY CARGO AGENT (MCA) 

My Cargo Agent - MCA is basically the commercial version of Book Track deliver - BTD, that means you get all the functions and features of BTD plus additional features, it is also a hosted solution but with the cheapest price to use it when compared to similar systems on the market. We are also a freight forwarding company with full understanding of the small profit margin in the industry and hence the cheap monthly subscription fee for such a robust system. Here are the additional functions you get with MCA;

• Shipping Manifest: Once invoices are done, a freight forwader can choose individual or bulk manifest generation that can be printed or shared within the company or a third party as required . No need of printing every invoice or separate excel sheet for the manifest. Generate a manifest any time.
• House Air Waybill HAWB: House Air Waybill is basically your proof of shipment, a freight forwarder can generate this using the details from the Master Air Waybill MAWB, assume a forwarder  wants to keep some details on the MAWB away from third parties  for privacy matters, the HAWB can be generated with the same details and forwarded to customers. 
• House Bill Of Lading HBL: The house Bill Of lading HBL works the same as the HAWB above but for sea freight shipment, a forwarder can generate an internal HBL with the same details as the original Bill Of Lading (B/L) as a proof of shipment, assumming some information in the original is subject to privacy issues and may not be shared with a third party. The HBL should contain the same basic information as the B/L.
